Lucas County, Ohio Court Clerk and Recorder Select ID Shield(TM) Automated Redaction Software

Extract Systems, a leading provider of data indexing and redaction
software, announces the deployment of ID Shield Automated Redaction
Software for Lucas County (Toledo), Ohio Clerk of Court and Recorder.
Lucas County noted ID Shield's superior accuracy and its ability to find
a variety of sensitive data types, including handwritten data in the
margin of a record, when awarding the project. Other categories where ID
Shield scored high included its ease of integration with Hyland's OnBase
Software, and Extract's previous experience with enterprise-scale
redaction projects.
Lucas County is redacting privacy information including Social Security
numbers, Tax ID numbers, Employee Identification numbers, Federal Employee
Identification numbers, Drivers' License numbers and the more difficult to
capture personal identifiers such as names of minors and law enforcement
officers, passwords, Personal Identification and Financial Account numbers
from a wide array of files and records, ranging from birth certificates,
probate wills, judgments and property records. ID Shield will redact the
county's backfile of 22 million pages and process three million
day-forward pages each year.
Using the County's predefined data types and unique records and forms,
Extract developed and vigorously tested four sets of custom business rules
(phrases, text patterns, and locations designed to find and eliminate
sensitive information) for Lucas County's Clerk backfile and day-forward
records and Recorder backfile and day-forward records. The foundation for
Lucas County's custom rule set is Extract's National Rule Set(TM), the
industry's most encompassing and reliable set of rules that locates over
20 different sensitive data types anywhere on any document. Extract's
focus on developing highly precise rules for Lucas County resulted in
industry high redaction accuracy rates on the first day of the project,
reducing processing time and verification labor costs.
